Satisfactory Academic Progress Policy for Financial Aid

Appeals are due in the Financial Aid Office at the Wharton campus by 12:00 noon on Monday, January 11, 2010. The Appeal Committee will meet on Thursday, January 14, 2010. Any supporting documentation must be attached to the request at the time of submission. Requests received after the January 11 deadline may be held for review until the next appeal meeting which will be held mid semester. Students should check their Satisfactory Academic Progress (SAP) status online for appeals decisions.

Satisfactory Academic Progress Policy
for Financial Aid

A student at Wharton County Junior College (WCJC) must maintain satisfactory academic progress to be eligible for financial aid (i.e., grants, work-study, and student loans).

Satisfactory academic progress for financial aid at WCJC must be maintained in two areas:  (1) Qualitative and (2) Quantitative. The qualitative and quantitative standards used to judge academic progress are cumulative and include all periods of the student’s enrollment in post-secondary education. Periods in which the student did not receive student financial aid funds must also be counted. Students who have attended other post-secondary institutions will have all hours evaluated the same as if those hours had been attempted at WCJC.

I.          Qualitative:  A student must maintain a grade point average (GPA) of 2.0, both cumulative and for each semester/term. If the student falls below the minimum GPA, he/she will be placed on financial aid probation for the following semester.

II.          Quantitative:  A student must complete at least 70 percent (70%) of attempted course work during the previous semester. Failure to complete 70% of attempted course work will result in financial aid probation. Hours completed do not include the following:  F, I, W, WP, WF, or IP. These hours will be counted as hours attempted. Students who receive all F’s, W’s, WP’s, or IP’s, or a combination of these will be placed on financial aid suspension.

III.         Time Limit for Financial Aid Eligibility (maximum hours):  A student is allowed financial aid only for the number of semesters necessary to complete his\her degree or certificate program, and the maximum can be no longer than 150% of the published length of the educational program (the number of semesters will be determined by enrollment status and the standards of satisfactory progress).  Student enrolled in AA\AAS programs with 90 or more attempted hours will not be eligible for financial aid. Grades of F, I, W, WP, or IP are counted as hours attempted.  In making a determination of satisfactory progress, probation, and suspension, all college work taken will be computed whether completed at Wharton County Junior College or at other educational institutions, and whether or not financial aid was received.

IV.        Reviews:  The Financial Aid Office will review student progress at the end of each semester. Students are responsible for checking their status using the online services feature on the WCJC website (www.wcjc.edu).

 V.        Financial Aid Probation:  A student may receive aid for one semester while on financial aid probation. Failure to achieve a 2.0 semester/term and cumulative GPA, or successfully complete 70% of the courses attempted while on financial aid probation, will result in a student’s financial aid being suspended for the following semester.

VI.        Financial Aid Suspension:  To be reinstated for eligibility for financial aid, a student must enroll in a minimum of six (6) semester hours and raise his/her semester/term and cumulative GPA to 2.0 and must fulfill the satisfactory progress requirements in items I and II.

VII.        Appeals:  Any student who has been placed on financial aid suspension or denied aid may appeal in writing to the Financial Aid Office. Any supporting documentation to substantiate the appeal (i.e., employer’s statements, physician’s statements, etc.)  must be presented at the time of the written appeal. Appeals will be referred to the Financial Aid Appeals Committee for resolution. A student who is granted aid through the appeals process will be placed on financial aid probation for the following semester of enrollment. Notice of scheduled appeals meetings will be posted on the WCJC website. A student is responsible for checking the decision of the appeals committee by using the online services feature on the WCJC website (www.wcjc.edu). 

VIII.       Defaulting on Loans:  Any student, who has defaulted on a prior student loan, whether obtained at WCJC or at another institution, is not eligible to receive additional federal loans for attendance at WCJC. Students may appeal this policy in writing to the Financial Aid Appeals Committee as outlined in step VII.
